Frequently Asked Questions

Sometimes there are things you can’t think to ask. Below are some of the questions we’ve answered from others.

Yes, we charge a non-refundable planning fee for our services. We use our knowledge of supplier affiliations, vendors and locations to craft the best experience possible for you. As your personal travel advisor, you can rest assured that everything I propose for you is crafted to your specifications. I am not affiliated with any hotel, tour operator or supplier. The proposal I present to you only takes into consideration your best interest. I am proud to join your professional network of service professionals who you choose for their expertise, knowledge and proven service.

Service begins with a complimentary consultation. I meet with you to discuss your desires and expectations and together we determine if we are a good match to work with each other. This consultation can be set up in a number of ways; complete our travel interest survey and I’ll contact you to schedule; send me an email or give me a call and we’ll schedule that way. This consultation normally takes about 45 minutes and is scheduled at a time that is convenient for you. If you agree to use our service, we’ll collect our planning fee and begin work on a proposal draft for your review. We’ll refine and tune until it is exactly what you want, including concierge services if available. We are able to get upgrades and special considerations in some cases, and we will always check.

You can expect a first proposal of your trip one week after our consultation. You will review, make any desired changes, deletions or additions, and expect your second proposal one week later. Once you have approved the proposal, I will begin making all of the necessary reservations and bookings. The entire process normally takes three weeks from start to finish, but can take longer depending on the complexity of your itinerary, the number of persons in your group, and any special amenities that may be available.

When you depart for your vacation, you will have a direct connection to me throughout your journey. You will be able to contact me anytime during your trip in the event an issue arises. Because I will have knowledge of every aspect of your trip, I am able to contact those directly involved with your trip to resolve issues immediately.

Every proposal that I present to you will automatically include trip insurance. This insurance proposal will be based on the destination and duration of your trip. Holston Travels strongly encourages and recommends that you purchase trip insurance. However, you are not under any obligation to purchase trip insurance, or to purchase the insurance we present to you. Should you decline to purchase trip insurance, we will ask you to sign a waiver to that effect and it will be removed from your proposal.

Receipt of travel documents varies by vendor. In some cases, your documents will be sent upon initial deposit. In others they will be sent upon final payment. Regardless of when we receive them, they will be sent to you immediately. In most cases this will be at least 30 days prior to the start of your trip. We will also keep a copy of your documents on hand in the event you need another copy.
